Facilities Manager
The Facilities Manager is responsible for overseeing the maintenance, safety, and compliance of 30+ yoga studios across London. This role involves managing all aspects of facility upkeep, ensuring compliance with UK Health and Safety regulations, and coordinating with external vendors. The Facilities Manager will directly manage an in-house maintenance person and a cleaning supervisor, ensuring the smooth day-to-day operations of the studios. The ideal candidate will have a strong understanding of facilities management, health and safety compliance, and team leadership skills.
Key Responsibilities:

Facilities Maintenance:
- Oversee the daily operations and maintenance of 30+ yoga studios, ensuring all facilities are clean, well-maintained, and fully operational.
- Directly manage and provide leadership to the in-house maintenance person and cleaning supervisor, ensuring they meet performance expectations and respond promptly to issues.
- Conduct regular inspections and audits of studios to identify maintenance needs and ensure prompt resolution of issues by in-house or external teams.
- Implement and manage a preventive maintenance schedule, delegating tasks to the maintenance person as needed.

Health and Safety Compliance:
- Ensure all studios comply with UK Health and Safety Regulations, including fire safety, electrical safety, and general building safety standards.
- Conduct health and safety risk assessments and audits regularly to maintain compliance and mitigate risks.
- Develop and implement health and safety policies and procedures, training staff (including the maintenance person and cleaning supervisor) on safety protocols.
- Ensure all studios have the necessary safety equipment and signage, working with the in-house team to address any compliance issues.

Team Leadership:
- Manage the performance of the in-house maintenance person and cleaning supervisor, providing feedback, setting goals, and conducting regular performance reviews
- Develop work schedules and prioritize tasks for the maintenance and cleaning teams, ensuring efficient operations across all studios.
- Provide training and development opportunities to ensure the team stays current with best practices in facilities and cleaning management.
- Ensure proper coordination between maintenance, cleaning teams, and studio staff to minimize disruption to classes and customer experiences.

Budget and Vendor Management:
- Manage the facilities budget, ensuring cost-effective solutions without compromising safety or quality.
- Build and maintain strong relationships with external vendors and contractors, negotiating contracts and ensuring quality service delivery.
- Oversee the procurement of necessary materials and supplies, ensuring cost-effective purchasing and timely delivery, while coordinating with the cleaning supervisor and maintenance person for inventory needs.

Inventory and Equipment Management:
- Manage the inventory of equipment, furniture, and supplies across all studios, ensuring they are well-maintained and replaced as necessary.
- Ensure the maintenance person and cleaning supervisor have the necessary tools, materials, and supplies to perform their roles effectively.

Energy and Sustainability Management:
- Implement and manage energy-saving initiatives to reduce operational costs and improve sustainability, working closely with the maintenance person to ensure energy-efficient solutions are in place.
- Explore eco-friendly solutions for studio operations and recommend sustainability practices to management

Emergency Management:
- Develop and maintain emergency response plans for each studio, including fire evacuation, medical emergencies, and other potential risks.
- Ensure all studios are equipped with functioning emergency systems, such as fire alarms and extinguishers, delegating tasks to the in-house maintenance team as needed.

New Studio Openings:
- Facilitate in the opening of new studios, working with contractors to ensure a timely delivery of works is completed
- Collaborate with other departments to ensure a successful launch of a new studio
- Ensure all new studios are compliant with Health and Safety regulations alongside creating clear guidelines for studio up-keep and emergencies.
Qualifications
- Education: Bachelor’s degree welcomed but not necessary. .

Health and Safety Certifications
- IOSH (Institution of Occupational Safety and Health) Certification: Managing Safely or equivalent is essential
- NEBOSH (National Examination Board in Occupational Safety and Health) Certificate in Health and Safety or equivalent is preferred/desired.
- First Aid at Work and Fire Safety Certification desired
- Experience: Minimum of 2 years of experience in facilities management, preferably across multiple locations. Experience managing a team is essential. Experience in the leisure, wellness, or retail industry is a plus.

- Excellent leadership and team management skills, with experience in managing in-house maintenance and cleaning teams.
- Project management and organizational abilities.
- Financial acumen with experience managing budgets.
- Ability to negotiate and manage vendor contracts.
- Proficiency in facilities management software and tools.
- Strong problem-solving skills and attention to detail
